How HBS built LDY CMS, a custom dashboard for lab-instruments distributor LDY CO: pipeline, quotes, website inquiries, after-sales service, marketing and reports.
Labib Demian Youssef & Co. (LDY CO) has equipped laboratories in Egypt since 1962 as the authorized agent for 12 global instrument brands, serving pharma, petrochemical, food & feed, academic and testing labs across Egypt and the GCC.
After building LDY's new corporate website, HBS designed and built LDY CMS, the company's own management dashboard: one internal platform that runs the full life of a laboratory customer, from the first website inquiry to the quote, the order, the installed instrument, its service and training, and the next campaign. It replaced LDY's previous off-the-shelf system with a dashboard shaped around how an instruments distributor actually sells and supports, and HBS trained the team to use it from day one.
Give the sales team one place for accounts, contacts, deals, quotes and follow-ups.
Turn website and partner leads into tracked opportunities instead of scattered emails.
Produce professional quotes quickly, with discounts, VAT and terms built in.
Bring after-sales work (installed equipment, service, contracts, calibrations, training and visits) into the same system as sales.
Give management clear visibility: pipeline, team performance and reports, with full control over who can see and change what.
Make sure every team member can adopt the system quickly and confidently.
An instruments distributor does not sell once and move on. A single lab can involve several contacts, a long consultative sales cycle, quotes in several versions, installation, warranty, maintenance contracts, calibration and operator training, across a portfolio of a dozen partner brands. Off-the-shelf tools treat this as a simple pipeline. LDY needed a system built around accounts, instruments and the relationship over time, bilingual for an Arabic-speaking team, simple enough for daily use by sales, service and marketing, and backed by real training so the move from the old system would stick.
Open pipeline, weighted forecast, quotes awaiting response, tasks, open tickets, AMCs and calibrations due, warranties expiring and revenue won, plus pipeline-by-stage, a team leaderboard and a recent activity feed.
Every lab and company with its sector, lifecycle stage and account manager. The account page brings contacts, deals, quotes, equipment, tickets, contracts, activities, documents and tasks together, with an account health score that explains what is on track and what needs attention.
A clean directory of decision-makers and lab users, linked to their accounts, with roles, language preference and completeness checks.
A kanban board that follows LDY's real sales stages: Inquiry → Qualified → Demo / Visit → Quote Sent → Negotiation → PO Received, with deal values, ageing and owners, plus a list view and team / my-deals filters.
Quotes built from the product catalog with line items, line and whole-quote discounts, 14% VAT, validity, currency, payment and delivery terms and client-visible notes. Versions, sending and open/click tracking show where every quote stands, and accepted quotes move on to sales orders.
LDY's full catalog organized by partner brand and category, with publish controls and installed-base counts.
Every contact, quote and product form from the website, and leads relayed by partner brands, land in one inbox with New / Contacted / Closed status, hot and cold tagging, owner assignment and one-click conversion into an account and deal.
Client emails appear as threads matched to their contacts and accounts, with replies sent from inside the dashboard and one-click conversion into a service ticket.
Installed base with warranty tracking, service tickets with SLAs, maintenance contracts (AMC), calibrations, and spare parts and consumables, so service sits next to the sales history of every account.
A schedule for field engineers covering warranty, AMC, calibration, training and pre-sales visits, plus training records with attendees, hours and issued certificates.
Email campaigns with audience lists, open and click rates and unsubscribe handling, and registration forms for seminars and webinars, with attendee review and CSV export.
Fourteen ready reports, including pipeline overview, sales rep performance, sector performance, quote-to-close, service SLA, AMC renewals, campaign performance, top customers, product and brand performance, discount and pricing, and lead sources.
Users, roles and a permissions matrix (admin, manager, sales, service, viewer), a full audit log, email log, data import, backups, workflow automations with quote approvals, SLA settings, templates and scheduled jobs.
HBS trained LDY's team through on-site training sessions and live webinars, walking each role through its daily work in the system. To keep that knowledge available after launch, HBS also produced short Arabic video tutorials for every module, built into the system's Help & Tutorials section, alongside a "How to use this page" guide on each screen, global search and a command palette.
