How HBS built VBS's operations dashboard: a requests pipeline with response KPIs, a lightweight CRM, a consent-based marketing list and a five-language property manager.
Venus Business Solutions (VBS) helps foreign investors and residents buy property, invest and live well in Egypt. Every investor journey, property request and concierge booking submitted on vbs-eg.com, in any of five languages, lands in one place: the operations and CRM dashboard HBS designed and built for the VBS team.
The dashboard turns each submission into a tracked request, each contact into a customer record, and the whole website (properties, services, articles and site content) into content the team edits themselves. The public website side is covered in our VBS platform case study.
All figures, names, emails and phone numbers in the screenshots are demo data. The client's real numbers are not shown.
VBS sells to a premium, time-sensitive audience, so a slow reply is a lost deal. Leads arrive from several services and guided journeys, in five languages, and the team needed answers at a glance: which requests nobody has opened yet, how fast the team responds, who is a returning customer, and which contacts agreed to receive offers. At the same time, a premium property catalogue had to stay up to date in five languages without waiting on a developer.
KPI cards for total requests, new requests, active properties and services offered.
A pipeline chart across every stage: new, in review, contacted, in progress, completed and cancelled.
A live feed of the latest requests with stage badges, plus quick links to the areas the team uses most.
Response KPIs: requests not opened yet, average time to first open, completion rate, and the top services of the last 30 days.
Filters by stage, service, unopened status and date range, with full-text search and CSV export.
A "seen by" column that shows which team member opened each request, and a language badge for the language the customer used on the site.
Requests are grouped automatically into customer profiles by email, or by phone when there is no email. Each profile shows contact details, request count, services used and the last request, with a "returning" badge for repeat customers and sorting by newest or most active.
A consent-based list of contacts who agreed to receive offers and news, with their language and service interests, exportable to CSV for email campaigns and the newsletter.
A portfolio table with cover photo, type, purpose, city and area, price and currency, a "Featured" flag, and a switch that takes a listing live or back to draft instantly.
A tabbed property editor: basic info (title, slug, price and currency, purpose, type, beds, baths, guests, area, rating), content and description in five languages with a rich-text editor, location, media and amenities, and publishing status.
A drag-to-reorder photo gallery where the first image becomes the cover, and an amenities checklist.
Supporting taxonomies for cities, areas, amenities and property types.
Services with drag-and-drop ordering and feature points, plus sub-services and homepage services.
Articles with categories and SEO slugs, jobs and job applications, partners, reviews, media, about and legal pages.
Hero content, currencies, mobility options, users and global site settings, including the email notifications sent to the customer and the team for every request and job application.
Built-in page guidance on each screen to help new team members get started.
Front end: Next.js and TypeScript, with server-rendered admin pages for speed and security.
Data: Supabase for the database, authentication and storage.
Content: five-language content model (English, Arabic, German, French and Russian) shared with the public website.
Media: Cloudinary-backed image delivery.
No lead slips through: every request is tracked from arrival to completion.
Response speed is visible, with unopened requests and time-to-first-open on the first screen.
Returning customers and opted-in contacts are identified automatically, ready for follow-up.
The team runs a five-language property catalogue and the whole website without a developer.
